AssisLoop is a product of Quicklight Software LLC ("we," "us," or "our"). We provide an AI-powered booking, lead management, and customer engagement platform for service-based businesses. This Privacy Policy explains how we collect, use, and protect information when you use our website, platform, and related services (collectively, the "Service").
2. Information We Collect
Information you provide directly
- Account information: name, email address, phone number, and business name when you sign up or are onboarded by a partner.
- Booking information: when you book an appointment through our scheduling pages, we collect your name, phone number, email address (optional), and answers to any intake questions configured by the business.
- Payment information: billing details are collected and processed by Stripe, our third-party payment processor. We do not store your credit card number.
- Communications: call transcripts (when you call a business using our AI voice agent), SMS messages, and web chat conversations. We do not record or store audio from voice calls.
Information collected automatically
- Usage data: pages visited, features used, and session duration.
- Device data: browser type, operating system, and IP address.
Information from third-party integrations
- Google Calendar: if a business connects their Google Calendar, we access calendar event data (start/end times, titles) to check availability and sync bookings. We request read/write access to calendar events and read access to free/busy information.
- Microsoft Outlook Calendar: if a business connects their Outlook calendar, we access calendar event data (start/end times, titles) to check availability and sync bookings. We request read/write access to calendar events and read access to free/busy information.
- HubSpot: if a business connects their HubSpot account, we sync lead and contact information between AssisLoop and their HubSpot CRM.
3. How We Use Your Information
- To provide the Service: scheduling appointments, managing leads, sending booking confirmations and reminders via SMS and email.
- To operate our AI voice and chat agents that handle incoming calls and messages on behalf of businesses.
- To sync calendar availability and create events on connected Google or Outlook calendars.
- To process payments through Stripe for subscription billing.
- To send transactional communications (booking confirmations, reminders, review follow-ups) via SMS and email.
- To improve and maintain the Service, including troubleshooting and analytics.
4. How We Share Your Information
We do not sell your personal information. We share information only in these circumstances:
- With the business you're interacting with: when you book an appointment, call, or chat with a business using AssisLoop, that business can see your contact information, booking details, conversation transcripts, and chat history.
- Service providers: we use third-party services to operate the platform, including Twilio (voice calls and SMS), OpenAI and Anthropic (AI language models for voice and chat agents), Stripe (payment processing), Amazon Web Services (hosting and infrastructure), and Google/Microsoft (calendar integrations).
- Legal requirements: we may disclose information if required by law or in response to a valid legal request.
5. Google API Services — Limited Use Disclosure
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We only use Google Calendar data to check availability and sync/create booking events on behalf of the connected business.
- We do not use Google Calendar data for advertising or to serve ads.
- We do not allow humans to read your Google Calendar data unless it is necessary to provide the Service, required for security purposes, or required by law.
- We do not transfer Google Calendar data to third parties except as necessary to provide the Service (e.g., creating a booking event) or as required by law.
6. Data Retention
We retain account and booking data for as long as the business account is active. Call transcripts and chat history are retained according to the business's configured retention settings.
7. Data Security
We use industry-standard security measures to protect your data, including encryption in transit (TLS), encrypted storage, role-based access controls, and infrastructure hosted on Amazon Web Services. However, no method of transmission or storage is 100% secure.
8. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or delete your personal information. If you are an end consumer who booked an appointment or interacted with a business through AssisLoop, please contact that business directly. If you are a business account holder, contact us at the email below.
9. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify account holders of material changes via email or an in-platform notice. The "Effective date" at the top of this page indicates when the policy was last revised.
